Hi guys,
Just after a bit of advice. We have been approached by a company employee about taking over the contract for maintenance at their premises. Apparently the contract is for 21visits per year. We have actually seen the invoice presented by the current contractor and they have charged a set amount per month, sometimes they attend once in the month or up to 3 times in the month, but still charge the same per month. Is this normal procedure? We thought that we would invoice after every couple of visits, but are new to contract work. Thanks for reading.

Invoice once monthly and try to get 2 visits per month in during the growing season at least, even better if you can get there every 2 weeks. Winter visits can be done as and when really for leaf and litter collection, good luck with the quote.

Generally with the contract work, the total cost of say 20 visits, will divided by 12 for the year, so the payment stays the same each month, wether you go once, twice a month or possibly in January not at all! you still invoice and get paid though.
Yes this is normal invoicing.
I work to 19-21 visits, roughly 16-17 visits every fortnight through the main period, then the remainder every 4-6 weeks during the off season. Some invoices have zero visits, and the odd one has had 3 visits, but as I say I work it out in 2-week blocks and forget the calendar year as it's all easier to schedule that way. I invoice the second last Friday of the month for annual total price/12 per month.

Thanks guys, it feels sort of wrong to invoice and not to have done any visits that month. I guess we'll just have to get used to it :)

I'd not want to miss a whole month out. My contracts, mostly let properties but some small commercial such as a doctor's surgery, are based on weekly visits when the grass is growing fast, fortnightly when it's ok to leave the week in between, and "as needed" during winter. I still pop in to them all every couple of weeks regardless of whether I feel it's needed.
I don't like the idea of sending an invoice to a client who's not even seen me from one month to the next, even if it's just to pop my head through the door and tell them nothing needs attention. With commercial premises there's often the odd bit of litter or something that makes it worth a few minutes of my time, they do notice you're regularly keeping your eye on the property.

So, you also work out your no. of visits per year total and divide by 12 and invoice monthly then?

Thanks guys for your replies.
